By booking an appointment, treatment, consultation, or training course with Alex James Clinic & Training Academy, you agree to the following Terms & Conditions. These are designed to ensure a safe, professional environment and protect both the client and the business.
A non-refundable deposit is required to secure all treatment appointments and training course bookings.
Consultations may be offered free of charge; however, failure to attend a scheduled consultation without prior notice may result in a deposit being required for any future booking.
Deposits are deducted from the final treatment or training cost.
Clients must provide at least 48 hours' notice if they wish to cancel or reschedule an appointment.
If less than 48 hours' notice is provided, the deposit will be forfeited and the following rescheduling fees may apply:
Repeated cancellations or rescheduling (two or more occasions) may require a new deposit to secure future bookings.
Rescheduled appointments should normally take place within 30 days of the original booking, subject to availability.
Clients or trainees arriving more than 15 minutes late may have their appointment cancelled or shortened. Where an appointment cannot proceed due to lateness, the deposit will be forfeited and a rescheduling fee may apply.
All clients must be 18 years of age or older to receive treatment. Proof of age may be requested.
Clients must disclose all relevant medical conditions, allergies, medications, and skin conditions prior to treatment.
Clients must not undergo treatment if they are:
Failure to disclose relevant medical information may result in treatment being refused or discontinued.
Where required, a patch test must be completed prior to treatment. If a client fails to attend a required patch test appointment, the clinic cannot be held responsible for any adverse reaction that may occur.
Alex James SMP reserves the right to refuse or discontinue treatment if it is deemed unsuitable, unsafe, or not in the best interests of the client.
This includes situations where:
Any decision made in the interest of safety is final.
Scalp Micropigmentation and other cosmetic procedures are artistic and cosmetic treatments and results may vary between individuals.
Factors such as skin type, lifestyle, aftercare compliance, medical history, and natural healing response may influence results.
While every effort is made to achieve the desired outcome, no guarantee of specific results can be provided.
To ensure proper healing and optimal results, a minimum interval of 7–14 days must occur between treatment sessions. Failure to follow recommended treatment intervals may affect results.
Scalp Micropigmentation typically consists of three treatment sessions, spaced appropriately to allow the scalp to heal and pigment to settle. Treatment plans may vary depending on the individual.
Scalp Micropigmentation treatments are designed to be completed within a recommended timeframe.
If a client fails to attend scheduled sessions or delays treatment for more than 3 months after their previous appointment, the treatment plan may be considered abandoned.
In such cases:
A fourth session may be offered at the practitioner's discretion within 4–6 weeks of the final session if minor adjustments are required.
Additional sessions may be chargeable where:
Touch-ups requested more than 6 months after the final treatment will normally be treated as a new treatment and charged accordingly.
Aftercare instructions will be provided verbally and/or in writing following treatment. Clients are responsible for following all aftercare advice provided.
Failure to follow aftercare guidance may negatively affect healing and results and may require additional sessions which will be chargeable.
Photographs may be taken before, during, and after treatment for the purposes of:

Clients may withdraw consent for marketing use at any time by notifying the clinic in writing.
Alex James Clinic & Training Academy maintains a professional and respectful clinic environment. We reserve the right to refuse or discontinue treatment where a client:
In such circumstances the appointment may be terminated immediately and deposits or payments may be forfeited.
Alex James Clinic & Training Academy provides all treatments with reasonable care and skill.
However, the clinic cannot be held responsible for:
To the fullest extent permitted by law, the total liability of Alex James Clinic & Training Academy shall not exceed the amount paid for the treatment in question.
Nothing in these terms limits liability for death or personal injury caused by negligence.
Clients agree to contact Alex James Clinic & Training Academy directly to resolve any concerns regarding treatment or payment before initiating a chargeback or payment dispute with their bank or card provider.
Where a chargeback or payment dispute is raised without first attempting to resolve the matter with the clinic, Alex James Clinic & Training Academy reserves the right to:

Training courses require a non-refundable deposit to secure a place. By submitting payment, participants confirm acceptance of these Terms & Conditions and enter into a legally binding agreement.

Certification is granted at the trainer's discretion and attendance alone does not guarantee certification.
Participants are responsible for obtaining any required insurance, licensing, and regulatory approvals.
Beginner SMP Training Kit
Some training courses include a starter SMP kit provided solely to support practical training during and immediately after the course. This kit is provided as part of the training package and is not sold separately as a retail product.
Alex James Clinic & Training Academy does not guarantee that the items included in the kit will be suitable for all practitioners or treatment styles, does not provide warranty coverage for consumable items, and does not provide ongoing supply of consumables included in the kit.
A list of suggested consumables may be provided as guidance only. Trainees are responsible for conducting their own research and sourcing products suitable for their business, preferences, and insurance requirements.
Machine Supply (Advanced Training Courses)

Warranty support is provided following completion of the Troubleshooting & Fault Reporting Protocol and only after a manufacturer defect has been confirmed. Warranty decisions are determined by the manufacturer following technical inspection.
Alex James Clinic & Training Academy accepts no liability for loss of earnings, business interruption, or consequential losses arising from machine use.
Participants must behave professionally and follow all safety guidance. Unsafe, abusive, or disruptive behaviour may result in removal from the course without refund.
These Terms & Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the jurisdiction of the courts of England and Wales.
Alex James SMP reserves the right to update these Terms & Conditions at any time. The terms in force at the time of booking will apply to that appointment or training course.
